General Membership Meeting Minutes June 11, 2008 Prior to the meeting, a Post Memorial (Post Everlasting) Service was performed for departed Paid-up-for-Life Member John W. Mytko. First Vice Commander Jerry Guest convened the meeting at 10:11 A.M. Roll Call of Officers: First Vice Commander Guest, Second Vice Commander Larry Childs, Chaplain John Welsh III, Service Officer Raymond Jones, Adjutant Larry Wade, Historian Juan Molina, Post Executive Committee Consultant Officer H.J. Hardy, and Canteen Manager Supervisor/Trainer William Brown were present. Commander Donald Cayton, Finance Officer Christopher Tyree, Judge Advocate A.D. Davis, and Sergeant-at-Arms David Butler were excused. Note: Legionnaire James Lary Jr. was appointed Sergeant-at-Arms for the meeting by First Vice Commander Guest. A motion was made and passed to accept the minutes from the May 14, 2008 General Membership Meeting subject to corrections. Introduction of Guests and Prospective New Members: There were no prospective new members present. Mrs. Mytko and Unit 123 First Vice President Charito Jones were present for the Post Memorial (Post Everlasting) Service. Finance Report (For Information Only): Adjutant Wade read the “unofficial” Financial Report for the month of May 2008 (Finance Officer Tyree is still in the United States on personal business). He also read the “unofficial” Financial Report for the Memorial Day/New Post Home Grand Opening Celebration. These reports are subject to audit. There was a question as to how much money were we able to put back in our Landbank Peso Account. P19, 262.00 can be put back in. Membership Report: Adjutant Wade reported that the Legion Year 2009 Membership Cards are in. The new Legion Year for 2009 begins July 1, 2008. Balloting on Applications: Ashton, Maria M. was balloted for membership into Post 123. Her membership eligibility was verified by Adjutant Wade. A motion was made and seconded to accept her into the Post. No discussion. The motion was voted upon and approved. Post Service Officer’s Report: Nothing to report. Sick Call, Relief, and Employment: The following Post Members remain on the Sick Call List: Legionnaires Ennis “Ken” Cook, Clyde Dunlap, and Steve Massie. Prospective New Member Allan Coates is in the hospital. Unfinished Business: 1. A motion was made and seconded to withdraw the motion voted upon and approved at the May 14, 2008 whereas Unit 123 will be allowed to defer the P5,000 a month they pay to the Post (for ten months) and use it for covering the ballroom dance area. There was a discussion. The motion was voted upon and approved. 2. A motion was made and seconded that the Post would build the cover for the ballroom dance area and Unit 123 doesn’t have to pay P5,000 a month until it is built. Discussion: Donations and self-help will be used to build it. First, a blueprint will have to be completed. The motion was voted upon and approved. 3. First Vice Commander Guest briefed the Membership on a City of Angels newspaper flyer that contained advertising rates. It was discussed whether we want to advertise via that newspaper (kind of expensive). Legionnaire Lary and Legionnaire Melvin Cole volunteered to handle the project. 4. Post 123 Business Cards: They now have a map on the back with directions to our new Post Home. 5. The renting of the extra Post Home room(s) was discussed. The rental price can be negotiated (a little income is better than zero). Legionnaire Lary volunteered to handle this matter. New Business: 1. TMJ Internet: Legionnaire Lary brought up the possibility of having TMJ (at VFW Post 2485) setting up three units here. The cost was discussed. A figure of P150,000 was mentioned. They could have a separate electric meter. It will be brought up at the next Post Executive Committee meeting. 2. Securities and Exchange Commission: Post 123 needs to submit their 2007 information as soon as possible. Adjutant Wade is working on it. 3. We need to purchase two fire extinguishers (cheaper than having them recharged) to satisfy the Fire Department requirement so we can get our Business Permit. We also need to get our Sanitary Permit. A motion was made and seconded to purchase two fire extinguishers. No discussion. The motion was voted upon and approved. 4. A Big Screen Television for the outside area was discussed for information. Once the Ballroom Dance Area is covered, the Television will be discussed again. 5. There’s a possibility that the Department Annex might be relocated to Post 123. 6. The Post Executive Committee approved the erection of two flag poles at the front gate of the Post Home. First Vice Commander Guest will handle that project at a cost of P2,000. 7. A couple of ideas to attract business are: Have a daily Happy Hour (3-5 PM?) and have a barbeque (hamburgers and hotdogs) on Thursdays for the customers who are waiting for the Baguio Vegetables. It was discussed. 8. Ms. Lina Mendoza is the new Canteen Manager. She is currently in training. Former Canteen Manager William Brown is supervising/training her. 9. The Post needs to provide its employees two pair of black pants each as part of their uniform. 10. A motion was made and seconded to donate a lunch special for two to Vietnam Veterans of America Chapter #887 to be used as a door prize at their Annual 4th of July Picnic. Discussion: A lunch special for two certificate will be typed up. It will have an expiration date. The motion was voted upon and approved. 11. A motion was made and seconded to put two additional electrical outlets in the pool area so additional fans can be used during the Monday and Friday pool matches. Discussion: Legionnaire Melvin “Bud” Cole will take care of this project. The motion was voted upon and approved. 12. Our outstanding website (maintained by Post Life Member Malcolm “Mac” McCallum) costs Five Thousand Pesos (P5,000.00) a year. Two Thousand Five Hundred Pesos (P2,500.00) was pledged at yesterday’s Post Executive Committee Meeting. The balance of P2,500.00 was given at this meeting. 13. Legionnaire Sean McHale said he would take care of replacing the bottoms (seats) of our metal chairs. Good of the American Legion: 1. The Beagles Organization’s 32nd Anniversary Inaugural Dinner and Dance will be held at Peking House Restaurant (Century Resort Hotel) on Saturday, June 28, 2008 from 6-10 P.M. Meal tickets sell for P350.00. Raffle tickets sell for P250.00 per book of eleven tickets. 2. Veterans of Foreign Wars Post 11447 Annual Fil-Am Day (July 4) Raffle tickets sell for P250.00 per book of eleven tickets. See the cashier or Post Adjutant Wade. 3. Vietnam Veterans of America Chapter 887 Annual 4th of July Picnic will be held at the Ponderosa Hotel on Friday, July 4, 2008 beginning at 11 A.M. Meal tickets sell for P350.00. There will be a “Live” band and door prize giveaways. There also will be a fifty/fifty raffle. 4. Fifty-Fifty Raffle Draw: P2,000 collected. P1,000 to winner William Brown (he donated P500 of it to the Post). P1,000 to the Post. First Vice Commander Guest closed the meeting at 11:30 A.M.
